YOUR DATA • YOUR CHOICE
Privacy Notice
We want you to know what information This To That Clearance collects, why we need it, who may process it for us, and the choices you have. We do not sell your personal information.
Last updated: 29 August 2026
THE SHORT VERSION
We only ask for what we need.
For the T2T Exchange, your username and town can be shown to other members. Your registered email address is private and is used for your account, security and service communications. Never put your street, house number or full address in the Town field or in a public post.
You can use the main T2T website without creating an Exchange account. If you do not agree to the Exchange Rules and this Privacy Notice, do not create an account.
1. Who is responsible for your information?
This To That Clearance, based in Waterlooville, Hampshire, is responsible for the personal information described in this notice. Privacy enquiries and data-rights requests can be sent to exchange@thistothatclearance.com for Exchange/privacy matters, or thistothatclearance@gmail.com for general T2T enquiries.
2. Information we may collect
Depending on how you use T2T, we may process: your name or contact details when you make an enquiry; your Exchange username, registered email address, town, age-confirmation, rules acceptance and optional marketing choice; posts, photos, saved posts, reports, feedback and item-conversation messages you choose to submit; account status and moderation records; and limited technical/usage information used for security and, where you choose analytics, to understand how the website is used.
The Exchange asks for your town only. We do not ask you to publish your home address. Collection arrangements and any exact address should be shared privately only when necessary and only with the relevant member.
3. What other members can see
Other Exchange members may see your username, member number, town, public posts and the content you deliberately publish. Your registered email address is not displayed to ordinary members or on your public profile. Authorised T2T staff can access account information where necessary to operate, secure and moderate the Exchange.
4. Why we use your information and our lawful bases
We process account and Exchange information to provide the service you ask us to use, administer accounts and enable member-to-member Exchange features. We process information where necessary for our legitimate interests in running, securing, improving and moderating T2T, provided those interests are not overridden by your rights. We may process information where necessary to comply with legal obligations or deal with unlawful activity. Optional T2T marketing is based on your consent and can be withdrawn at any time.
5. Email, account verification and T2T Support messages
Account confirmation, password reset and other essential authentication emails are service communications, not marketing. Our authentication platform and email-delivery provider process the information needed to send these messages. Choosing not to receive marketing does not stop essential account or security emails.
T2T may also contact an Exchange member privately through T2T Support where reasonably necessary for account administration, a post or listing query, moderation, safety, security or resolving an Exchange issue. These on-platform support conversations are visible to the member concerned and authorised T2T staff, and may be retained where reasonably necessary for support, moderation, disputes, safety or legal compliance.
6. Website analytics and device storage
We use limited first-party analytics to understand matters such as page visits, engagement and movement between T2T sections. Analytics is optional. We will not start optional analytics on your device unless you choose Allow analytics. If you choose Essential only, the website and Exchange can still be used. Essential device storage may still be used where necessary for login, security and the service you request.
You can change or withdraw your analytics choice at any time using the Privacy settings link in the website footer. Choosing Essential only stops future optional analytics on that device and removes the current analytics session identifiers. Analytics information is used in aggregate to understand website performance and is not intended to identify you by name.
7. Who may process information for us?
We use specialist service providers to operate T2T. These may include Supabase for Exchange database, authentication and backend services; Resend for authentication-email delivery; and our website/DNS/security infrastructure providers such as Cloudflare. They process information for the relevant service and are not given permission by T2T to use it for their own unrelated marketing.
If you follow a link to another service, such as T2T Reclaimed on Shopify or KJ Sparkles, that service or website has its own privacy arrangements. This notice does not control what an independent website does after you leave T2T.
8. International processing
Some technology providers may process or support information from locations outside the UK. Where UK data-protection law requires safeguards for an international transfer, we expect the relevant provider arrangements to use an applicable adequacy decision or approved contractual/other safeguards.
9. How long we keep information
We keep personal information only for as long as reasonably necessary for the purpose for which it was collected, including operating an active account, responding to enquiries, maintaining security and moderation records, resolving disputes, and meeting legal, tax or regulatory obligations. When information is no longer needed, it will be deleted, anonymised or otherwise put beyond ordinary use where appropriate. Some records may need to be retained after an account is closed where there is a legal, fraud-prevention, safeguarding, dispute or moderation reason to do so.
10. Account deletion
Exchange members can request deletion using Delete my Exchange account in Account. Deletion does not necessarily require us to erase information that we are legally entitled or required to retain, for example a limited record needed for security, disputes, abuse prevention or legal compliance.
11. Your data-protection rights
Depending on the circumstances, UK data-protection law may give you rights to ask for access to your personal information, correction of inaccurate information, deletion, restriction of processing, objection to certain processing, and portability of information. Where we rely on consent, you can withdraw that consent without affecting processing that was lawful before withdrawal.
To exercise a right relating to the Exchange or this website, email exchange@thistothatclearance.com. We may need to confirm your identity before acting on a request.
12. Complaints
Please contact us first if you have a privacy concern so we can try to resolve it. You also have the right to complain to the UK Information Commissioner's Office (ICO).
ICO guidance and complaint information is available at ico.org.uk.
13. Children
The T2T Exchange is currently for people aged 18 or over. Public registration requires confirmation that the member is 18+. We do not knowingly invite children to create public Exchange accounts.
14. Changes to this notice
We may update this notice when the Exchange, our suppliers or the way we use information changes. We will update the date above and, where a change materially affects members, take reasonable steps to bring it to their attention.
YOUR CHOICE
Not comfortable with this?
You do not have to join the Exchange. If you are on the registration screen, choose I don't agree — exit Exchange. No Exchange account will be created from an unsubmitted registration form.
EXCHANGE LOCATION & SECURITY
Keeping the Exchange relevant and safe.
Exchange members provide a town/city and country. T2T uses this information to show locally relevant Free & Rehome and Wanted posts by default. Finds & Stories may be shown across the wider T2T community. Members can update their location in their account.
T2T may review account and on-platform activity where reasonably necessary to protect members, prevent spam, scams, misuse or abuse, investigate reports and maintain platform security. Internal review indicators are not public member labels and do not by themselves mean a member has done anything wrong.
